Open Position:

Full-Time Registrar

Great Lakes Christian College is seeking qualified applications for a full-time Registrar. Employment will begin July 1, 2026. Review of applications will begin immediately and will continue until the position is filled.

 

Qualifications

Required

  • Master’s degree
  • Commitment to Christian higher education and GLCC’s mission
  • Knowledge of FERPA and best practices in academic record management
  • Strong organizational skills with exceptional attention to detail
  • Proficiency with student information systems and standard office software
  • Excellent written and verbal communication skills
  • Ability to manage multiple deadlines and handle confidential information discreetly

Preferred

  • Experience in a small college or faith-based higher education environment
  • Minimum of 3 years of experience in higher education, records management, academic administration, or the equivalent
  • Familiarity with accreditation processes and compliance reporting
  • Experience supporting transfer credit evaluation and degree audits

Big Picture Responsibilities

  • The Registrar oversees the development, use, and maintenance of academic records according to accepted standards. This involves supervising academic organizational processes involving both students and Faculty, advising and communicating academic
    policies, and reporting accurate data to outside agencies.For employment purposes, the Registrar is classified as a Staff employee. As a participant in academic issues/procedures, the Registrar also carries Faculty classification. The Registrar reports directly to the Vice President of Academic Affairs (VPAA).
  • All full-time faculty and staff are expected to abide by GLCC’s Employee Handbook (note especially the GLCC Doctrinal Statement) and Faculty Handbook (note especially the Philosophy of Education and Curriculum and Faculty Vision Statement).

Specific Responsibilities

Academic Records

  • Prepare and maintain student records, with full responsibility for the use and storage of these records
  • Keep student academic information current in the online Student Information System
  • Manage the release of academic records, including all transcript requests, with careful attention to the necessary permissions required
  • Evaluate transcripts of transfer students and potential students, with the assistance of the VPAA
  • Coordinate the reporting of semester grades from Faculty, ensuring timely student access
  • Act as chief FERPA compliance officer for GLCC
  • Maintain and provide access to all academic forms
  • Provide statistics as necessary to aid in the evaluation of academic goals
  • Provide directory information as requested by governmental, educational, and other agencies
  • Provide educational verification to organizations requesting it, ensuring FERPA compliance
  • Oversee the IPEDS reporting process, taking a lead role in student enrollment, retention, and completion data, and coordinating with all parties responsible for other data (e.g., financial aid, admissions, human resources, and operations)

Academic Organizational Processes

  • Academic Honors
    • Prepare the Dean’s List every semester
    • Provide the VPAA with information for various academic awards recognized during Honors Chapel
  • Commencement Ceremony
    • Communicate with graduating students regarding ceremony requirements and logistics
    • Conduct a graduation ceremony student rehearsal prior to Commencement
    • Order diplomas, caps, gowns, and honor cords
  • Calendars and Scheduling
    • Work with VPAA to produce Faculty course rotations and course cycling information
    • Work with the VPAA to produce semester schedules and room assignments
    • Schedule final exams at the beginning of the semester
  • Registration
    • Assign advisers to new students
    • Report changes in registration (adds, drops, withdrawals, audits) to instructors, advisers, the Business Office, and the Financial Aid Office
    • Provide advisers with access to updated advisee transcripts
  • Athletic Verification
    • Work with Athletic Director to certify the academic eligibility of student athlete
    • The Athletic Director initiates the online form, which the Registrar fills out
    • Forms should be submitted at least 24 hours before an athletic event, per the requirements of the NAACC
  • Degree Requirements
    • Prepare graduation checks for all students three semesters before graduation
    • Enforce academic requirements for degrees
    • Determine and certify academic graduation honors
    • Notify VPAA and Faculty adviser of academic deficiencies
  • Student & Faculty Support
    • Provide responsive service to students, Faculty, and staff regarding academic policies, records, and procedures
    • Support Faculty with grading processes and roster management
    • Provide advising training to all new instructors, including adjunct Faculty

Pre-employment and Post-employment Screening

All prospective employees undergo pre-employment criminal background screening before an offer of employment is made. All GLCC employees undergo periodic criminal background rescreening to ensure they have not been charged with a crime since having been hired. Any individual who commits or has committed any conduct that would adversely impact the health and safety of any student, as determined on a case-by-case basis, and including but not limited to criminal sexual conduct of any degree, or any other violent crime, is ineligible for employment at GLCC.
